Information on the application procedure

All personal data conveyed by you within the context of the application process will only be collected for purposes of the implementation of the application process.

The ALTANA Group pays particular attention to the compliance with data protection regulations. Personal data which are stored in the CV database, will be treated only confidentially within the scope of the policies set forth here. In this context the ALTANA Group takes all necessary security measures to protect the data administered by us against manipulation, loss, destruction, or unauthorized access or disclosure. Our security measures are constantly improved in accordance with technological developments.

I. Purpose of data collection and processing

We collect personal data in a database in order to be able to better assess and contact candidates which come into consideration for current or future job advertisements. On completing the application form, you decide, if your application will be considered only for the advertised position you currently applied for, or if your application shall be considered for further positions within the ALTANA Group, or future positions respectively.

II. Which information is collected by us?

We collect the following kinds of information in our database: 

1. CVs and personal information

a) Description of your work experience, skills and education

b) Contact information which renders you identifiable, e. g. your name, your address, phone number and email address (“personal information”)

c) Furthermore, depending on the position to be filled, you will be asked to add further electronically stored documents like cover letter, certificates, application photo etc.

In case you already have been interviewed by us or have participated in an online assessment, we may enter a short evaluation into our database. Of course such evaluation does not contain any defamatory or deprecatory statements. Only information with specific relation to the evaluation and the recruitment procedures or your job profile will be stored. An evaluation will also be conducted and stored in the data base in the context of the coordination between HR and functional department in order to verify your application profile for the advertised position.

2. Statistical data

The data stored in the CV database may be used to produce statistics. However, the data used here are anonymized information which do not allow any conclusions regarding the identity of a certain user.

II. Treatment of your application data

All personal data conveyed by you within the context of the application process will only be collected by the companies of the ALTANA Group for purposes of the implementation of the application process. It is irrelevant if you apply for an advertised position or if you send an unsolicited application.

Your application for a specific position or your unsolicited application for a certain location will go directly to the relevant HR department of our respective subsidiary. An unsolicited application for a certain region or several locations will be received by the HR department of ALTANA AG, and will be forwarded to the competent HR department of the companies. In all cases your application may be forwarded to the functional departments and the works council, respectively. Furthermore, the HR Corporate Systems & Recruitment Department of ALTANA AG has access to the group-wide applicant management system due to technical system requirements.

1. Application for an advertised position

In case of an application for a specific position your application will only be made accessible to and be processed by employees of the ALTANA Group who are entrusted with the recruiting process for the position in question (e. g. employees of the HR department, works council and the competent functional department).

2. Unsolicited Application

In case of an unsolicited application, you provide us with your personal data for verification of your suitability for different, and, if applicable, interdisciplinary positions throughout the group. Therefore it is possible that, in addition to the handling by the HR department of ALTANA AG, your documents will be forwarded to several functional departments of ALTANA AG or to HR and functional departments of our subsidiaries.

3. Data transfer to locations outside the EU

A forwarding of your data to affiliates of ALTANA Group situated outside the EU and the European Economic Area (EEA) will only take place, if and as far as this is permissible according to applicable data protection provisions, notably the GDPR.

4. Who processes your data?

Data collected by ALTANA Group will be processed without exception only by ALTANA AG itself, its subsidiaries and service providers bound by contract. Personal data will only be transferred to companies who operate our servers or provide necessary service, and only for a specific purpose within the framework of order processing according to the applicable data protection.

If you are invited to an online assessment in the context of the application procedures, you will be prompted to open a corresponding link. By following the link you will leave the homepage of the ALTANA Group and get to the homepage of our service provider cut-e, which we entrusted with the implementation of the test procedures. Cut-e may only process your data within the context of the online assessment. Within the framework of the registration process for the test procedures, you will be shown cut-e’s user agreement, and you will be asked to agree to this agreement.

5. Storage of your data, Talent Pool

After completion of the application process, you data will be deleted, according to the applicable data protection regulations, particularly with regard to retention periods.

Within the context of the application process you have the possibility to give consent to inclusion into our Talent Pool. In case of consent your application data and documents will still be stored in our system and examined for suitability in case of open positions. If you do not give or if you revoke your consent, we will delete your personal data according to the legal provisions, as far as we are not legally obliged to retain your data. You may at any given time informally revoke your consent.

6. Data security

We apply the technical and organizational measures necessary to protect your data from manipulation, loss, destruction or unauthorized access, and to safeguard their integrity and availability. Our safety precautions are improved constantly corresponding to technical developments.

In order to protect your data against loss or damage, to safeguard the accuracy and security of your personal data, and to prevent unauthorized access or improper use, we apply various security measures like firewalls anti-virus software and manual security checks.

Please note that, with transfers to the database made via the internet, the SSL encryption is only active if the key symbol appears in the lower menu bar of your browser window and if the internet address begins with https/www----. We apply this encryption method for certain data. SSL (Secure Socket Layer) protect the data transfer from illegal access by third persons with an 128 bit encryption technology. In case this option is not available, you are free to decide not to send certain data via the internet.

7. Notes concerning your application

Please observe the integrity and accuracy of your details in order to ensure a proper treatment of your application.

Please inform us immediately of changes of your details which are relevant for the application. You may at any given time view, edit, renew or delete your data stored in the database. In addition, our HR department will gladly view, edit, renew or delete your data upon request.

Please ensure not to send us any file attachments containing viruses or “worms”. Please also observe not to transfer information or attachments to us, which contain certain categories of personal data, notably information on ethnic origin, political, religious or philosophical beliefs, trade union membership, health and sexual orientation.
